Workflow & Resource Coordinator
Harlow, Essex | Full-time | Office-based | £30,000 per annum
Are you a highly organised administrator who loves keeping projects, people, and priorities on track? We’re looking for a Workflow & Resource Coordinator to join a growing, fast-paced business supporting their busy in-house team.
You’ll work closely with the Studio Manager to plan, schedule, and coordinate workloads — ensuring every project is resourced properly, timelines are realistic, and deadlines are met. This role is ideal for someone who thrives on planning, scheduling, or is a highly organised administrator, and enjoys keeping a team working efficiently together.
What You’ll Do
- As the project coordinator, you will support the Studio Manager in planning and scheduling daily workloads across the team.
- You will take on the responsibility of managing and updating the workflow system (e.g. Trello, Monday.com or similar) — ensuring all projects are logged, tracked, and moving through approvals smoothly.
- As a resource coordinator, you will manage the resources, timelines, and priorities to ensure projects stay on schedule.
- Communicate regularly with different departments to keep everyone aligned and informed.
- Flag potential bottlenecks or missed deadlines early and suggest solutions.
- Maintain clear documentation and updates for all projects in progress.
What We’re Looking For
- Strong planning and organisational skills, with excellent attention to detail.
- Experience in project coordination, scheduling, or resource management — whether that’s in operations, engineering, marketing, or production.
- Confident using workflow or project management tools (e.g. Monday.com, Asana, Trello, MS Project).
- Great communicator who enjoys keeping teams connected and on track.
- Comfortable working in a fast-paced environment and managing multiple priorities.
- A proactive problem solver who enjoys bringing structure to busy teams.
